Credit Card Authorization
- By providing a valid credit card, the Client authorizes Noble Event Rentals, LLC to: Place pre-authorizations and charges for the following: Deposit (30% Non-refundable), Final Balance, Applicable Taxes, Delivery and Setup Fees, and Costs Related to Damages, Missing Items, Late Returns, or Force Majeure Events as Permitted by the Contract.
- Pre-authorizations may be utilized to confirm the availability of funds. Final charges will be processed on the due date or as otherwise agreed upon in writing.
- All credit card information will be processed securely through Stripe, utilizing PCI-compliant systems. Noble Event Rentals, LLC will not store full card numbers or CVVs outside of Stripe.
- The Client agrees that all charges will be applied to the same card used for the deposit, and any refunds will be issued back to that card in accordance with Noble Event Rentals, LLC’s Refund Policy. If the full payment is not received by the due date, the booking may be canceled as outlined in the Cancellation Policy.
Customer Ethics
Noble Event Rentals, LLC is dedicated to conducting business with honesty, integrity, and respect. We expect our clients to engage in ethical, lawful, and cooperative conduct to ensure safe, successful events and positive outcomes for all parties involved. By entering into this agreement, the Client commits to upholding these ethical standards and working in good faith with Noble Event Rentals, LLC throughout the rental period.
- Ethics Checklist: Honesty and Accuracy: Provide truthful, complete, and accurate information during booking and when reporting on equipment return. Promptly disclose any pre-existing damages or concerns regarding the equipment Equipment Return and Condition Reporting: Return rental items in the condition specified in the contract, allowing for reasonable wear. Report any damage, loss, or missing items promptly and accurately; do not conceal or misrepresent issues. Follow all setup, usage, and safety instructions provided. Payment and Financial Conduct: Fulfill all financial obligations by the due dates, including deposits, balances, taxes, delivery/setup fees, and any additional charges. Communicate openly and promptly regarding disputes or questions about charges, providing documentation as needed. Compliance and Conduct: Comply with applicable laws and venue requirements, including permits, noise ordinances, and safety guidelines. Treat Noble Event Rentals, LLC staff, equipment, and property with respect and courtesy. Third-Party Personnel Responsibility: Ensure that any third-party vendors or staff associated with the event adhere to these ethical standards and comply with the rental agreement as applicable. Security and Data Handling: Cooperate with reasonable security measures to prevent loss or theft and follow drop-off/pick-up protocols. Do not tamper with or bypass Noble Event Rentals, LLC’s systems or processes.
- Violations and Remedies: Material breaches of these ethical standards may result in termination of services, penalties as described in the contract, and potential loss of deposits or future eligibility. A "material breach" includes, but is not limited to, failure to comply with the Ethics Checklist or any other significant violation of the rental agreement.
- Acknowledgment: By signing the contract or accepting a quote, the Client acknowledges that they understand and agree to uphold these ethical standards throughout the rental period.
Customer Pickup and Return Policy
Noble Event Rentals, LLC no longer allows customer pickups. All equipment must be delivered by our staff.
- Delivery and Return Guidelines: Deliveries, setup, and returns will occur between 9:00 AM and 3:00 PM. Some setups and teardowns may take place later into the evening to ensure readiness for events.
- Customers must adhere to the scheduled times for deliveries and returns. If unable to meet the scheduled time, customers must contact Noble Event Rentals, LLC to arrange an alternative time; additional costs may apply.
- The customer is responsible for the safe transport and safeguarding of items during their possession. Loss or damage during delivery or return is the customer's liability, subject to the terms of the rental agreement.
- Documentation and Proof: A delivery/return checklist will be completed and signed by both parties. Photos may be taken to document item conditions.
- Customer-Set-Up/Teardown Requirements (for clients who opt to set up and teardown): If the customer selects setup and teardown services, the customer must ensure the equipment is stacked and ready for pickup in the same condition as it was at delivery. The setup/teardown process should minimize tape, dirt, or debris on equipment. The customer is responsible for ensuring the equipment is clean and free of tape, dirt, or debris prior to pickup.
- Cleanliness and readiness: No tape, dirt, or debris should be present on equipment at the time of pickup. Equipment must be clean and in the same condition as when delivered, aside from reasonable wear.
- Contact Information: For any changes to delivery or return times or locations, contact Noble Event Rentals, LLC at 725-228-5098 or [email protected]. Written confirmation is required for any changes.
Damage Waiver Policy
Noble Event Rentals, LLC offers an optional Damage Waiver to help mitigate costs associated with accidental damage to rental items during the rental period. Please note, the Damage Waiver is not insurance. Customers may select this coverage at the time of booking or prior to delivery.
- Coverage Details: What the Damage Waiver Covers: Accidental damage to rental items during the rental period (excluding normal wear and tear). Damage not resulting from negligence or misuse, per waiver terms. What the Damage Waiver Does Not Cover: Intentional damage, vandalism, theft, arson, or unauthorized modifications. Damage resulting from misuse, improper setup, or violation of operating instructions. Loss or damage to non-rental items or items beyond the control of Noble Event Rentals, LLC.
- Maximum Coverage and Limits: The waiver covers costs up to the replacement value of the damaged item, minus any specified deductibles.
- Deductibles and Costs: If applicable, customers must pay a deductible per incident. The Damage Waiver fee is non-refundable and may be added to the total rental price.
- Conditions and Requirements: Adding the Waiver: The Damage Waiver must be confirmed in writing (via invoice, contract addendum, or secure online form) before delivery.
- Claims Process: Customers must report any damage to Noble Event Rentals, LLC staff immediately. A damage inspection will be conducted at pickup/return or during post-event assessment. Upon filing a claim, Noble Event Rentals, LLC will evaluate the damage and notify the customer of any applicable charges or credits according to the contract.
- Standard Damage Charges Interaction: If the Damage Waiver is not purchased, customers are liable for standard repair/replacement costs as specified in the contract. If purchased, eligible damages will be handled according to the waiver terms, minimizing the customer's out-of-pocket expense.
- Documentation: All selections regarding the Damage Waiver must be recorded in the client’s contract or invoice. Include clear, plain-language explanations of the waiver terms and attach the full policy when possible.
- Payment Considerations: Any additional charge for the Damage Waiver should be processed through the usual payment method and included in the total contract amount.
- Governing Law: This agreement shall be governed by the laws of the State of Nevada.
Delivery and Pickup Policy
Noble Event Rentals, LLC outlines the following procedures for delivery, setup, and return of rental items:
- Delivery, Setup, and Return Windows: Deliveries, setup and returns will occur daily between 9:00 AM and 3:00 PM, excluding office hours. Some setups and returns may take place beyond 3:00 PM. All setups for events will be completed the day or evening prior to ensure readiness. Same-day deliveries and setups are subject to availability and may incur additional fees.
- Scheduling and Compliance: Customers must select and confirm delivery/pickup dates at checkout. Adherence to these times is crucial to prevent delays and additional charges. If a customer cannot meet the scheduled time, they must contact Noble Event Rentals, LLC immediately to arrange an alternative. Revisions are subject to availability and may incur additional costs. For example, if the event is on the 17th, the delivery and set up will take place on the 16th and the teardown or pick up will take place on the 18th.
- Missed Windows and Fees: Failure to communicate missed windows in advance may result in charges for rescheduling, labor, and any disruption to the next rental cycle.
- Location and Access: Deliveries and pickups will occur at the customer’s specified venue or location. The exact address will be provided at checkout. Customers must supply access requirements (e.g., gate codes, parking information) in advance for timely service.
- Inspections and Documentation: A delivery checklist will be completed and signed by both parties, documenting item counts, conditions, and any pre-existing damages. A return checklist will be completed at pickup.
- Customer Responsibilities: Customers must safeguard all rental equipment from the time of delivery until on-site sign-off.
- Weather and Contingencies: In cases of inclement weather or access issues, Noble Event Rentals, LLC will coordinate an alternative date or offer credit toward a future rental, subject to availability. All changes will be confirmed in writing.
- Communications: For any changes to delivery or return times or locations, customers should contact Noble Event Rentals, LLC at 725-228-5098 or [email protected]. Written confirmation of changes is mandatory.
Photo Usage Policy
Noble Event Rentals, LLC may utilize photographs and images of rented equipment and event setups for promotional and marketing purposes. This policy outlines the usage of images, customer consent, and limitations. By entering into an agreement, the customer grants the rights described below unless explicitly declined in writing.
- Consent and Rights Granted: Customer Grant of Rights: The customer grants Noble Event Rentals, LLC a non- exclusive, royalty-free license to photograph or video the rented equipment and on-site setup during the event, delivery, or pickup, and to use those images in various marketing materials, including but not limited to: Website, Social media, Email Campaigns Brochures, and Case Studies Vendor/Showroom Displays. Scope of Use: Images may be used in print, digital, and electronic formats. Anonymity and Attribution: If requested, Noble Event Rentals, LLC will omit identifying details (names, locations) in public postings or will credit the customer or venue as feasible.
- Right to Decline: Customers may opt out of photo usage by submitting a written request to Noble Event Rentals, LLC before the event. In this case, the company will avoid publishing images that prominently feature the customer or event participants, while still documenting standard equipment features for promotional purposes.
- Limitations and Privacy: Sensitive or Private Areas: Images disclosing sensitive information, personal moments, or restricted areas will not be published. Non-Promotional Use: Noble Event Rentals, LLC will not use images in a manner deemed defamatory, misleading, or harmful to the customer or venue. Compliance: All photo usage will comply with applicable laws and venue policies, respecting privacy rights.
- Release Management: Documentation: The customer’s consent or opt-out will be recorded in the contract or an addendum, applying to all equipment rentals under this agreement. Revocation: The customer may revoke photo usage consent at any time in writing. Noble Event Rentals, LLC will honor revocation for future materials but may not be able to remove images already published.
Refund Policy
At Noble Event Rentals, LLC, we are committed to providing high-quality equipment and services. This Refund Policy outlines the conditions under which refunds may be requested and processed, in alignment with our cancellation, delivery, and damage policies.
- Eligible Refunds: Refund amounts are determined by the cancellation policy in effect at the time of the request. Cancellations made more than 3 days before the event will receive a refund of the total amount paid minus a 30% non-refundable deposit. No refunds will be given for cancellations made 3 days or fewer prior to the event, except in the case of force majeure, which may allow for a credit toward a future rental at our discretion.
- Non-Refundable Deposits: A 30% non-refundable deposit is required at the time of booking. This deposit secures your date and/or equipment and covers potential administrative costs and opportunity costs. This deposit will not be refunded under any circumstances, including cancellations or no-shows.
- Processing Timeline: Refunds will be processed through Stripe and issued to the original payment method within 5–10 business days from the date the refund decision is confirmed. Any applicable deductions will be finalized at that time.
- How Refunds Are Calculated: Refunds will reflect the total charges paid, minus any non-refundable deposits and approved deductions for preparation costs, damages not covered by a waiver, or other contractually described withholdings. Refunds for any Damage Waiver or ancillary charges will adhere to the respective terms outlined in their respective addenda or contracts.
- Methods of Issuance: Refunds will be issued to the same payment method used for the original transaction unless otherwise agreed in writing.
- Disputes and Adjustments: In the event of a disputed charge, Noble Event Rentals, LLC will follow standard dispute resolution procedures, including necessary documentation or itemized accounting.
- Special Cases: If Noble Event Rentals, LLC cancels an event due to force majeure or equipment/supplier issues, refunds or credits will be issued according to the terms outlined in the Cancellation Policy.
- Documentation and Communication: Written Confirmation: All refund decisions and applicable deductions will be communicated in writing, accompanied by an itemized explanation. Records: Documentation of customer refunds and corresponding contract references will be maintained for audit purposes.
Re-taking of Rental Items (Late Returns, Repossession, and Operational Continuity)
To protect our inventory, ensure availability for all customers, and maintain safety standards, Noble Event Rentals, LLC reserves the right to reclaim rented equipment that is not returned (Picked up by Noble Event Rentals Staff) by the agreed-upon return time. This may include applying late fees, replacement costs, and other enforcement measures as outlined below. We recognize that delays can happen, and a reasonable grace period may be applied at our discretion to accommodate unforeseen circumstances. However, we must continue to operate efficiently to serve all our clients with the same level of care and attention.
- Definition of Late Return: A rental item is considered late if it is not returned (Picked up) within the agreed return window specified in the contract or as updated in writing.
- Right to Re-take Possession: Noble Event Rentals, LLC reserves the right to arrange for the collection of overdue items at a mutually agreed time. If items are not returned within a reasonable grace period, we may pursue retrieval at the Customer’s expense.
- Fees and Charges: Daily or per-item late charges will apply until the item is returned or recovered, as specified in the contract or itemized quote. Replacement Costs: If the item cannot be recovered or is damaged beyond repair, the Customer will be responsible for replacement costs at current market value, along with any applicable processing or handling fees. Additional Enforcement Costs: The Customer may incur costs associated with recovering the item, including transportation, storage, and legal fees where permitted by law.
- Notice and Communication: Noble Event Rentals, LLC will make reasonable efforts to contact the Customer prior to or at the time an item becomes overdue to coordinate return arrangements. All communications regarding overdue items will be documented in writing.
- Security Deposits and Balances: Any outstanding balances, replacement costs, or late return fees may be deducted from the Customer’s security deposit (if applicable) or billed separately as per the contract.
- Returns and Condition Upon Retrieval: Recovered items will be inspected for damage and verified against the original checkout list. Any damages beyond normal wear will be addressed according to the contract terms.
- On-Site Pick-Up and Return Readiness: The Customer agrees to have all equipment cleaned and prepared for return for on-site pickup by our staff. Equipment must be presented in a reasonably clean condition and ready for inspection.
- Costs and Impact on Operations: Delays related to late pickups or returns may incur additional costs associated with labor, dispatch, transportation, and scheduling. Such costs will be communicated in advance when possible and charged according to the contract. While we prioritize Customer support, service delivery will continue to align with the schedules confirmed in the contract, subject to staff and equipment availability.
- Communication and Documentation: All adjustments related to late returns or on-site arrivals will be communicated in writing whenever feasible, and a new or updated schedule will be confirmed in writing by both parties.
Marking Underground Utilities (Safety Grounding and Clearance)
To ensure the safety of customers, staff, and equipment, Noble Event Rentals, LLC will request the Customer to mark the locations of underground utilities (e.g., gas, electric, water lines) prior to delivery and site setup, wherever feasible and permitted by local regulations. This precaution helps prevent accidental damage and reduces the risk of injury during setup, operation, and teardown.
- Scope and Purpose: The Customer will coordinate or perform the marking of underground utilities at the delivery and setup site to establish safe working clearances for equipment placement, staking, augering, or other setup activities.
- Methods of Marking: Markers may include utility flags, spray paint, or other approved markers, placed in accordance with local codes and utility company guidelines. Markings will identify the approximate locations and boundaries of buried lines where visibility is possible and permitted by property ownership and regulations.
- Responsibilities: The Customer will conduct marking in advance of delivery, where practical, and will communicate any limitations or access issues to Noble Event Rentals Staff. Customer: Must provide access to the site, clear the area as needed for marking, and inform Noble Event Rentals, LLC of any known buried utilities or site constraints.
- Scheduling and Coordination: Marking activities will be scheduled in coordination with the delivery date. If marking is delayed or not feasible due to site conditions, Noble Event Rentals, LLC will modify the delivery plan to maintain safety and compliance, notifying the Customer in writing.
- Safety and Compliance: All marking and subsequent digging or staking activities will comply with applicable safety standards, local regulations, and utility company requirements.
- Limitations and Exclusions: Marking does not guarantee the absence of underground utilities beyond marked areas. The Customer is responsible for notifying Noble Event Rentals, LLC of any known hazards or discrepancies and for avoiding unauthorized digging or intrusion into marked zones.
- Documentation: All markings and site notes will be documented, and a site safety checklist may be completed prior to setup and during teardown.
Assumption of Risk and Release of Liability
- Acknowledgment of Risk: The Customer understands and accepts that using rental equipment involves inherent risks, including but not limited to hazards from assembly, operation, transportation, exposure to weather, and interactions with third parties or venue environments.
- Assumption of Risk: The Customer agrees to take on all risks of injury, damage, or loss that may arise from the use, misuse, or failure of the rental equipment during the rental period, from delivery to return, as permitted by law.
- Release of Liability: By renting equipment from Noble Event Rentals, LLC, the Customer acknowledges that using rental equipment involves certain risks, which may include equipment failure, injury during setup, or accidents. To the fullest extent permitted by law, the Customer agrees to release Noble Event Rentals, LLC from any claims or damages related to the use of the equipment. This release does not apply to cases of gross negligence or intentional misconduct by Noble Event Rentals, LLC. We encourage all customers to operate equipment safely and follow all provided instructions.
- Exclusions and Exceptions: This release does not cover damages or losses resulting from Noble Event Rentals, LLC’s failure to fulfill contractual obligations or injuries caused by gross negligence or intentional misconduct, as prohibited by law. If a Damage Waiver is purchased, its terms will govern for covered incidents.
- Indemnification: The Customer agrees to indemnify and defend Noble Event Rentals, LLC against any third-party claims that arise from the Customer’s use of the rental equipment, as permitted by law. (Indemnification means the Customer will cover any damages claimed against Noble Event Rentals, LLC.)
- Responsibility for Third-Party Actions: The Customer acknowledges responsibility for the actions of all guests, staff, or third-party vendors associated with the event while using the rental equipment.
- Insurance: If required by the contract, the Customer shall maintain appropriate insurance coverage (liability and property damage) for the event and name Noble Event Rentals, LLC as an additional insured when applicable.
- Survival: The terms of this Assumption of Risk and Release of Liability will remain in effect even after the termination of the rental agreement.
Non-Refundable Deposits
To secure your event date and reserve equipment, Noble Event Rentals, LLC requires a non-refundable deposit of 30% of the total estimated rental value. This deposit is non-refundable in case of cancellation or no-show and covers administrative costs and opportunity costs related to reserving your equipment.
- Key Terms: Deposit Amount: The standard deposit is 30% of the total estimated rental value, non- refundable, as stated in the Cancellation Policy. Purpose: The deposit reserves your date and/or equipment and covers administrative costs, potential preparation, and the opportunity cost of not being able to accommodate other customers. Interaction with Final Payment: The remaining balance is due on the date specified in the contract (e.g., the day of the event or according to a written schedule). The deposit will be applied to the total amount due but remains non- refundable. Cancellations and No-Shows: Cancellations or no-shows do not qualify for a refund of the deposit. Refunds, if any, will only be provided according to the Cancellation Policy and applicable refund timelines. Exceptions: Any exceptions to the non-refundable nature of the deposit must be documented in writing and signed by both parties. In certain cases (e.g., acts of God, severe weather, or vendor issues), refunds or credits may be considered at the sole discretion of Noble Event Rentals, LLC, in accordance with the Cancellation Policy. Documentation: The deposit details (amount, date collected, and purpose) will be recorded in the contract or invoice, and a receipt will be provided to you.
Cancellation Policy
- Cancellations must be made in writing and submitted to Noble Event Rentals, LLC.
- Cancellations made more than 3 days before the event will receive a refund of the total amount paid minus the 30% non-refundable deposit.
- Cancellations made 3 days or fewer prior to the event will result in no refund, except in cases of force majeure, which may allow for a credit toward a future rental at our discretion.
- In the case of force majeure, Noble Event Rentals, LLC may offer a credit toward a future rental at its discretion.
